Teach StackBob.ai to sync and provision a new app

StackBob App Recorder is a browser extension that admins can use to teach StackBob.ai how user management works in a Managed app. From four short recordings (Login, Sync, Access Granting and Access Revocation), StackBob.ai builds a deterministic No-Code Autonomous Provisioning (NCAP™) Integration for that app, with no code and no API required.

This guide shows how to install the extension, start a recording session and record each flow.


Prerequisites

  • The Org Admin, Org Manager or Unit Admin role in your StackBob.ai Organization.

  • The app added as a Managed app in your StackBob.ai Organization.

  • An admin account in the Managed app, so every user, group and permission is visible.

  • Details for two test users, such as an email address or username, for the Access Granting and Access Revocation flows.

  • A Chromium-based browser, such as Google Chrome, Microsoft Edge, Opera, Brave, or other.


Install StackBob App Recorder

  1. In StackBob.ai, open the Managed app you want to automate.

  2. In the Teach StackBob.ai to sync and provision banner, select Install Recorder.

  3. On the extension page that opened, select Add to Chrome (or your browser's equivalent), and confirm.

  4. Open StackBob App Recorder and authenticate with your StackBob.ai account.


Start a recording session

Apps without an NCAP™ Integration show the Teaching Required status on their app page in StackBob.ai and Teach StackBob.ai to sync and provision banner.

  1. On the app page, select Open App Recordings. The Settings > App Recordings tab opens.

  2. Select Add App Recording.

  3. StackBob App Recorder side panel opens in your browser. Under App, search for and select the app.

  4. Select Continue.

ℹ️ The App list shows only apps added as Managed in your StackBob.ai Organization. If the app isn't listed, add it first.

✅ The "Sync" recordings stop automatically after 15 minutes, and all other recordings after 5 minutes. Complete the "Before you start" steps listed in the extension side panel for each flow before you select Start Recording.

1. Record the Login flow

ℹ️ StackBob App Recorder never captures your passwords. All password field are automatically masked.

The Login recording shows StackBob.ai how an admin signs in to the app.

Before you start

  • Log out of the app if you're signed in.

  • Open the app's login page in this tab.

Record the flow

  1. Select Start Recording.

  2. When your browser asks what to share, choose this tab. The page will reload.

  3. Log in to the app as usual.

  4. Once you're logged in, select Stop Recording.

2. Record the Sync flow

The Sync recording shows StackBob.ai where the app lists users and their access, so it can read accounts, roles, licenses and permissions.

Before you start

  • Log in to the app as an admin. No passwords or secrets are recorded.

  • Open the app's user management page in this tab.

Record the flow

  1. Select Start Recording and share this tab.

  2. Visit every page where users, groups, roles, licenses or permissions are listed. On each page:

    • If the list has more than one page, go to the next page once.

    • If more items load as you scroll, scroll until one new batch loads. There's no need to load them all.

    • If there are tabs for different types (for example, Users, Groups, Roles), open each tab.

    • If opening a user or group shows extra details like permissions, open one.

  3. Once you've covered every page, select Stop Recording.

3. Record the Access Granting flow

ℹ️ This step requires creating a test user.

✅ Two recordings are recommended, one per test user, each with a different role.

Before you start

  • Open the app's user management page in this tab.

  • Have details for two test users ready.

  • Note which roles and other types of access you normally assign, such as a license or a group.

Record the flow

  1. Select Start Recording and share this tab.

  2. Invite or add the first test user, and give them one of the available roles.

  3. Assign at least one option of each other access type (if available), for example one license and one group. You can assign more options if they're part of your typical setup.

  4. Confirm any prompts, and wait until the app shows the process is complete.

  5. Select Stop Recording.

  6. Make a second recording for the second test user by repeating steps 1–5 with a different role.

4. Record the Access Revocation flow

ℹ️ This step requires revoking a test user's access. You can reuse one from the Access Granting flow.

Before you start

  • Open the app's user management page in this tab.

  • Have a test user ready to remove. If you don't have one, invite one first.

Record the flow

  1. Select Start Recording and share this tab.

  2. Find the test user and remove, deactivate or suspend them (whichever action the app offers to revoke access).

  3. Confirm any app prompts, and wait until the action is completed.

  4. Once you're done, select Stop Recording.


Review and manage recordings

If you're not sure a flow was recorded correctly, you can review each recording and record it again.

  1. In StackBob.ai, open the app and go to Settings > App Recordings.

  2. Find the recording. Download the recording and play it back. Confirm that it covers every step of the flow, from start to finish

  3. If anything is missing, delete the recording and record the flow again.


How your data is protected

StackBob App Recorder can access only the single browser tab you choose to share, and only while recording is on.

  • What's captured: the tab's screen and your interactions in it, including clicks, scrolling and typing.

  • Passwords are never recorded: password fields are masked automatically at the point of capture.

  • Personal data is de-identified: personally identifiable information (PII) is de-identified before any recording is used to train the StackBob.ai model pipeline.


Troubleshooting

Issue

Solution

The app isn't in the App list

Add the app as a Managed app in StackBob.ai platform, then reopen the extension.

The wrong tab was shared

Select Stop Recording, then record the flow again and choose the tab that shows the app.

The recording stopped before you finished

Sync recordings stop after 15 minutes, and all other recordings after 5 minutes. Complete the "Before you start" steps, then record the flow again. If you must, split the single flow into two separate recordings.

Some users, groups or permissions aren't visible during Sync

Log in to the app with an admin account, then record the Sync flow again.


Next steps

When all four flows are recorded, select Request Training in the Teach StackBob.ai to sync and provision banner on the app page, and StackBob.ai builds the NCAP™ Integration for the app. If you'd rather have the StackBob.ai team handle the recordings, select Request Training right away, and the team will provide white-glove training.

✅ Sync training typically takes about 48 hours to complete, as each integration is reviewed by the StackBob.ai team as part of a human quality assurance (QA) step.
